International West End Real Estate company that is West End based has an exciting role for a dynamic Team assistant to join. The team are looking to hire an enthusiastic assistant who will be a lynch-pin within the department.

Job Description
To provide proactive, efficient and effective PA/secretarial support to Directors, and ad hoc secretarial and administrative support for the rest of the team members.


*Maintaining information with regards to all projects carried out by the team.
*Being the first point of contact; taking responsibility for knowing each member of
the team's area of responsibility, and being able to provide responses/guidance in
their absence.
*Processing expenses for Directors.
*Raising new instruction/files and issuing fee accounts for each job; sending out
final invoices to clients
*Managing monthly fee forecasts for the team, for utilisation in Department Head's
monthly forecasts
*Raising fees and ensuring all fee deadlines are met.
*Opening files for new jobs, creating Conflict Checks and inputting new clients to
Contact Management.
*Inputting information into database.
*Dealing directly with clients, responding to enquiries and building a working
relationship with them.
*Using all IT Applications including Tardis, Job Management (Salesforce), Contact
Management and Filetrack.
*Using Pro-map and Goad to generate plans for reports.
*Arranging meetings and updating diaries, both paper and electronic.
*Ensuring that all travel and meeting rooms are booked for meetings and events.
*Carrying out any other reasonable management requests.

Key skills
*Ability to work without supervision in a confident manner to support the Team
Directors and manage queries in their absence.
*Excellent written and oral communication skills.
*Excellent time management and organisational skills.
*Ability to work under pressure and to tight deadlines.
*Must be able to pick up new systems at a fast pace.
*Must be a team player who is able to follow instructions.
*Intermediate knowledge of Microsoft Office products.
*Accurate typist with a minimum of 60 wpm for both audio and copy typing.
Qualifications


Experience
*Experience in working for a property consultancy (ideally but not essential)
*Ideally experienced in the use of Salesforce (although not essential)
