A Global Property Company is looking for a Team Administrator/Secretary to assist in all aspects of promoting the image of the office: responsible for reception, managing the marketing, branding and PR for the office, business generation activities and database management.
Responsibilities
Professional Standards
Front of House role in greeting clients and visitors to the office in a friendly and professional way, i.e helping with coats, offering refreshments etc.
General office organisation and maintenance of front office displays
Answering phones promptly in a polite clear manner so enquiries are dealt with efficiently and put through to the appropriate individual. Taking accurate messages.
Office Administration
Provide secretarial and admin support for the team
Ensure documentation and files adhere to best practice/Client Due Diligence (CDD)
Preparation of pitching documentation for folders including updating the team CVs
Distribute website leads and file
Adding/removing properties online
Assist with booking in market appraisals and viewings
Marketing
Liaise with regional press for advertising
Manage office advertising schedule and ensure all materials supplied meet corporate branding and meet deadlines
Provide press releases to regional press and to PR Department at Head Office. Deal with PR requests from Head Office
Manage social media sites
Prepare marketing materials
Prepare and design window cards
Brochure preparation including arranging and overseeing photography, floor plans, EPC, etc.
Management of Marketing Activity Calendar
Organise events including charity events
Systems & IT competence
Web/email/social media literate
Word/Excel literate
Good word processing skills and mail merge proficiency
Database experience
Professional Experience and Personal Skills Profile
Literate and numerate
Excellent written English and grammar - as proof reading a requirement
Organised and flexible, hands on
Pro-active with good degree of initiative
Confident and assertive
Professional and helpful
Self-motivated and able to work to deadlines
Able to well alone and also with the team
Very well presented
Ability to communicate with others at all levels in polite, professional, friendly and helpful manner, both face to face and on the telephone
