We are looking for an EA to provide first class administrative support to the Managing Director The ideal candidate will have gained experience within Financial Services or Real Estate and will build relationships at all levels with ease. This position requires constant interaction with senior stakeholders so the successful candidate must be comfortable liaising with the board members.

Key Responsibilities

* Provide first class support and assistance to the Managing Director
* Forward planning and managing diaries
* Complete management of inbox
* Extensive travel management, including booking flights, train tickets and hotel accommodation
* Attending key meetings, taking comprehensive minutes and taking ownership to ensure that all action points are followed up and resolved in a timely manner
* Arranging meetings and preparing meeting facilities and catering as appropriate
* Answering the telephone for the team as and when required, involves dealing with client queries, providing information, taking messages and fielding calls where appropriate
* Collating and maintaining organisational information and documents (org charts, contact lists, administrative templates and SharePoint)
* AUDIO Typing, proofing, formatting and organising external corporate presentations/reports
* Effectively "gate keeping": managing all incoming communication (including phone calls, voicemail and e-mail), efficiently establishing priorities and ensuring that all correspondence and enquiries are processed in an accurate, professional and timely manner
* Assisting with preparation and delivery of client conferences or events
* Providing general business support to the wider department as required
* Support on expense management, project registration and invoicing, liaising with the Finance Team as necessary
* Involvement in departmental projects as required
* Proven experience of collating high-quality PowerPoint presentations and materials
* Extensive liaison with key clients and their PAs in a professional manner, as key point of contact for client enquiries in fee earners absence
* Excellent IT skills: Excel, Word, Outlook and PowerPoint (production of high quality documents, reports and correspondence, diary and email management in Outlook).

Person Specification/Requirements

* Previous experience in a senior PA position
* Previous experience working in Real Estate or Professional Services industries will be an advantage
* Exceptional organization skills
* Typing speed minimum 60wpm with Audio
* Ability to form strong relationships and influence people
* Accurate and exceptional attention to detail
* Ability to prioritise and co-ordinate demands efficiently ensuring all deadlines are met
* Ability to build trust and maintain confidences and operate with the utmost levels of integrity
* Pro-active with proven experience of working under own initiative
* Excellent communication skills, both verbally and in writing
* Experience in supporting at board level for a global organisation is highly advantageous
