My clients are a leading independent property consultancy in the UK offering agency and professional advise across Commercial, Residential and Rural sectors.
we are looking to recruit a PA. The role will be predominantly providing PA support to two Equity Partners and Office Manager to the wider West End team.
Responsibilities
PA/OM Responsibilities:
Extensive diary management, including arranging meetings, conference calls, booking rooms at HQ office, liaising with clients and booking breakfast, lunch and dinner venues
Arranging international travel and accommodation, and preparing detailed itineraries and travel packs where necessary
Acting as an ambassador at all times and carrying out all personal assistant duties in a discreet, diplomatic and efficient manner as well as monitoring team movements
Ensuring supplier invoices and expense claims are approved by the required deadlines by Department Head (Working Life)
Raising expenses
Managing inbox's, (where applicable), filtering requests and implementing solutions, etc.
Liaising with Department Head and HR to raise recruitment requisition forms for new positions
Administration:
Document preparation including letters, agency brochures, presentations and reports
Registering agency instructions and liaising with department head and surveyor to carry out Client Due Diligence checks to comply with Anti-Money Laundering regulations
Responsible for the teams filing systems, archive, photocopying/scanning and ent of
HR Liaison:
Secretarial Recruitment Co-ordination; write engaging job specification; ensure recruitment team are fully briefed; CV screening, conduct first stage interviews, review of PPA reports and skills test results, organisation of second stage interviews, coordination of job offer.
Line management of support staff for West End Business (2 Team Secretaries/1 PA), including appraisals, arranging cover and recruitment (as and when required). Monthly catch ups with both Secretaries / PA.
Marketing & Events:
Marketing Ambassador for the team, ensuring you are up to date on all tools / brand guidelines / and liaising with marketing regarding all collateral needs for the team, i.e. producing sales brochures, event invites, property summaries, contact booklets, capability statements, track records, deal resumes, research documents and all other relevant marketing materials. Social Media management i.e. LinkedIn, Twitter, Instagram, Yammer etc.
Coordinating and assisting with the creation of pitch documents and arranging preparation meetings
Working with Department Head to organise team events i.e. Christmas Party
Project Co-ordinator:
Assisting the Project Manager with Commercial Projects ensuring Project Life is up to date including, due date, budget, forecast and actual spent
Monthly reports, completing a monthly report each month outlining the updates over the past month
Systems & IT competence:
