My clients a are small boutique executive search firm based in central London. Looking to recruit a senior EA this is a true 1:1 role working within a small office. Ideally on a temp-perm basis. Please note this is a very small team only 2 people in the office so you must be happy in this type of environment.

Role Description

The Executive Assistant to the Group CEO is core to the success of our firm and vital to the CEO's ability to develop business and ability to service clients. He/she will be working in a demanding, deadline driven, professional services-type environment, reporting directly to the CEO and with a large degree of autonomy.

The EA to the CEO operates as a central hub for communication across the Group and frequently acts as a go-to person in lieu of the CEO, functioning as a sounding board for colleagues, driving assignment deadlines and preparation for business development meetings. He / she will take a pro-active approach to managing the CEOs time and schedule, often making sensitive judgment calls on her behalf.

He / she will have a sense of purpose, enjoying the freedom to contribute to the wider running of the business. He / she will bring suggestions for alternative working practices from past experience to add to a dynamic atmosphere in which ideas and experimentation are encouraged.

This role blends administrative tasks with a significant focus on Business Development and intelligence for the group.

Responsibilities

Group Management and Business Development

*Lend general support to the CEO across the three divisions of the Bird & Co Group (search, coaching and mentoring) in conjunction with appropriate colleagues i.e. Board and Executive Mentoring Managing Partner.

*Work closely with the group CEO and the Business Development Manager in business development activity. This includes attending 2 weekly BD meetings and the opportunity to be involved from the strategy meeting through to landing the business, carrying out research on the ad-hoc project requests from the CEO (compiling of 30% of the workload) providing administrative support, inputting/updating the BD database, driving and tracking new business meetings.

*Provide full administrative support to the CEO including diary management (reflected in a paper diary), setting client, candidate and business development meetings, general business management, provide diary management support to the Partner and Consultant

Classic Search Support

*Project manage the search process to ensure on-time delivery including internal milestones, interview scheduling, travel and logistics

*Ensure all business and client communication is logged and correctly coded on File Finder

*Responsible for proof reading, reformatting and delivering all correspondence, new business presentations, proposals, brochures, research reports and other documentation.

*Ad hoc administrative tasks e.g. filing, scanning, binding etc (compiling of 3% of the workload)



Critical Competencies

Interpersonal skills: First class communication and interpersonal skills including tact, diplomacy and confidentiality. He/she will be in constant liaison with senior, high profile clients and candidates and often will be the first point of contact

Project Management: Holistic view of all activity related to the CEO; able to set priorities, anticipate changing requirements, communicate actions succinctly and give direction to colleagues in an inclusive and encouraging manner. Ability to take a project, wrap it up at the end of the week and pick it up again the following week, or give a coherent handover

Time Management: Ability to multi task and adapt to constantly shifting priorities due to the ever-changing and fast moving environment in which we operate, often to tight deadlines

Process-driven: Capable of processing large volumes of work, often under pressure, within structured systems

Detail-oriented: Accuracy and speed in preparation of candidate reports, references, proposal letters, briefing documents, etc, for presentation to the client

Computer literate: Fully conversant with and possess a recent track record of effectively using Microsoft Word - constant juggling between Word, Outlook, database and the internet.
Ability to use research tools e.g. the internet for extracting desk-based research if necessary
