My clients are a leading independent property consultancy in the UK offering agency and professional advice across Commercial, Residential and Rural sectors.
We are looking for a temp Operations Manager to join the public Sector team who are a market leading department focusing on London and South East, as well as working on a national basis.
The team are currently looking to recruit an Operations Manager to be responsible for providing an effective and efficient support service to the team, ensuring the smooth running of a busy department and effective support to the Department Head.
Responsibilities
Contract Administrator
*Dealing with contract administration obligations, maintaining opportunity and instruction spreadsheets for TfL, Crown Commercial Services and Homes England, tracking wins, losses and no bids
*Monitor all invoicing and maintain invoicing schedules
General Administration
Administration
*General office organisation and client inquiries
*Preparing, maintaining and printing WIP reports
*Purchase / maintenance of office equipment, furniture and supplies, mobile phones, IT liaison, new IT software and email addresses
*Managing department moves
*Organisation of meetings, room bookings and travel arrangements
*Ordering and replenishing stationery
*Filing / Archiving
*Coordinating all incoming and outgoing mail
*Intercept incoming telephone calls and emails regularly. Make full and accurate notes of all conversations/ telephone messages and ensure that they are actioned or passed on
*Subscriptions - journals, memberships, etc.
Finance
*Maintaining accurate records and producing financial information
*Monthly and general financial reporting to Accounts Department and sub-divisional head
*Responsible for showing all staff the H&S and Fire Regulations, and first aid processes
*Responsible for ensuring files adhere to audit regulations (Client Due Diligence, file registration etc)
Pitching
*Monitoring of Contracts Advance and other tendering portals
*Prepare reports and presentations
*Pitching documents - assist in drafting and collating pitching material and pitch resources
*Maintain team CV's and profiles (Bi-annual reminder)
Team
Support
*PA duties and full secretarial service for Department Head that includes copy typing, diary management and organisation of meetings and travel arrangements, filing, photocopying and confidential waste disposal etc.
Professional experience and personal skills profile
Qualifications/Education Required.
5 years+ experience in a similar secretarial role

Word (Advanced)
Mail Merge proficient
Excel
PowerPoint
Outlook
Audio - 60wpm+
Particular Aptitudes/Skills Required
Extensive diary management experience
Good standard of English grammar and spelling, and takes pride in presentation of work.
Flexible, adaptable and cooperative with the ability to remain calm under pressure.
Have the necessary organisation skills to provide an efficient support service to the department.
Dedicated, loyal, diligent and punctual with a tidy manner.
Well presented with a clear speaking voice.
Use initiative and come up with ideas to make the team run more efficiently.
