My clients are looking for a first class front of house administrator to cover reception and take on marketing duties to work for a world class property firm.

Please note this role will include weekends but this will be on a rota basis and time in the week will be given off should you work a weekend.


Client Support

Office Administration:
Maintenance of marketing suite
Reports, correspondence, memos, minutes, schedules, mail shots
Presentations using PowerPoint.
Electronic filing system. G: drive maintenance
Manual filing
Archiving
Stationery
Office meetings - weekly & monthly agendas
Assist in setting up new systems in office


Facilities Management:
Fire safety
Health and Safety
Furniture / equipment / telephones / supplies
Building access for visitors as and when required
Risk management
Security - Office alarm, key security, lone working
Awareness of all responsibilities as detailed in the Site Sales Manual
Awareness of, and adherence to, on-site Health & Safety requirements
Awareness of, and adherence to, any procedures relating to PMA & Money Laundering
Maintenance of any reporting/visitor registration systems
Engage with marketing initiatives
Keep all sales/plot files up to date
Administration of petty cash
Undertaking of daily checks of the presentation of the sales suite and show unit
Undertaking of daily checks of the literature, price lists and stationery
Maintain local information file

Team

Answering most incoming calls to department and fielding to relevant agents
First point of contact for the department
Be aware of team attendance i.e. know where everyone is
Reporting of any concerns with regard to any of the above to the Department Head

Systems and IT Competencies

Web/email literate
 Word (advanced)
 Excel literate
 Power Point
 Database experience
 Literate and numerate


Professional experience and personal skills profile

Career Experience Required

Previous administration experience preferable

Particular Aptitudes/Skills Required

Good standard of English grammar and spelling, and takes pride in presentation of work.
Flexible, adaptable and cooperative with the ability to remain calm under pressure.
Have the necessary organisation skills to provide an efficient support service to the marketing suite team.
Dedicated, loyal, diligent and punctual with a tidy manner.
