My clients are looking to recruit a HR Team Assistant on a temp basis could lead to perm

We are looking for an excellent Team Assistant that has dealt with a mixture of responsibilities from administration as well as reporting and excellent stakeholder management (ideally from a HR or exec Search background.


Manage all new requisitions, process, intake notes, scheduling intake meetings, advertising the role, closing the role
Own interview scheduling with candidates and hiring managers to ensure a smooth interview experience
Develop interview guides
Develop shortlist and long lists for hiring managers and HR

Encore - data management system:

Support in creating tailored Database/Encore- developing criteria, data segments, report templates; consent etc
Help to parse all existing mapping data onto Encore
Support to create Executive CRM talent pools
Research/Source candidates, including daily data entry into the system to ensure all new candidates provided by the suppliers are on the system
Manage consent

Candidate specific:

Manage candidate tracking in applicant tracking system SmartRecrutiers as needed, and assist in managing compliance
Support the New Hire On-Boarding Process including preparation of offer/transfer letters and contracts (if required), and communicating with HR and new hires to ensure a smooth on-boarding experience ( where appropriate)
First point of contact for all senior candidates, provide high touch experience in all their enquiries.

General support:

Prepare Status Reports (manage KPIs) and PowerPoint presentations for Executive Search assignments, as assigned
Ensure client satisfaction
Own special projects, as assigned (working with third parties and reviewing all documents and content, on-boarding, candidate experience)
Support the Exec Rec Principal, as needed
Manage and review supplier invoicing trackers:
develop working instructions for any new projects,
raise and manage PR requests working closely with relevant PAs and supply chain to ensure all payments are timely and work accurately tracked and timely paid
