My clients are a leading independent property consultancy in the UK based in their dynamic City office branch they are looking to recruit a PA/Team Secretary.


Main duties will be supporting a Partner and the City and New Homes team. We are looking for a new team member who can deal with a range of responsibilities, someone who is also highly organised and proactive with a high level of personal initiative. The role will include general administration and support for partner and team duties including invoicing, uploading and managing web listings, supporting 2 other Partners with diary and HUB management.

We are looking for a dedicated individual with a high attention to detail, ability to prioritise, handle confidential information, be efficient and hardworking, resilient with a passion for property and excellent communication and Microsoft Office skills.





Responsibilities

General

*Ability to communicate with others in a professional and helpful manner, both face-to-face and on the telephone/virtually
*Flexibility, adaptability and a co-operative attitude
*Good English grammar and spelling
*Acting as an ambassador for the Partners and team at all times and carrying out all personal assistant duties in a discreet, diplomatic and efficient manner
*Private assistance with ad hoc requests, personal matters, events and travel - Raul Cimesa
*Arranging overseas travel
*Organisation of travel itineraries - including visas, hotels, flights, currency etc.
*Full control and maintenance of emails and diary - Raul Cimesa
*Assisting with team diaries, and if requested, helping to make appointments and arrangements for all meetings with clients and colleagues
*Invoicing
*HUB management and data entry
*Assisting the CDD team with buyer compliance checks where necessary
*AML office representative, ensuring all files are up-to-date and correct
*Web administration for the team - creating, maintaining and updating web listings through HUB and managing RightMove listings
*Preparing reports, agendas and papers for meetings
*Minute-taking in meetings
*Typing of all correspondence: emails, reports, letters, minutes, schedules, forms, tender documents etc.
*Preparing PowerPoint presentations
*Ensure all filing (electronic and paper) is carried out on a regular basis to maintain an up-to-date filing system
*Coordinating all incoming and outgoing mail
*Intercept incoming telephone calls and emails regularly
*Preparation of tour packs - including taxi booking information, property information
