My are an independent mortgage and protection insurance advisory service from the world's largest privately owned global real estate agency. They are looking for a team secretary
to support the Partner in organising their day to day management of diary, appointments and projects and the office, whilst maintaining a high level of confidentiality.

Responsibility

1.Weekly meeting preparation
2.Managing the partner's diary, making appointments and arrangements for all meetings, as required.
5.Quarterly and annual Appraisal preparation
6.On-boarding of new starters
7.Team Expenses
8.Sending out of client completion cards
9.Corporate travel arrangement and booking
10.Send out and manage Client Services leads
15.Assisting team with annual leave requests and ensuring managers have signed any holiday off. Annual leave to be put in the diary.
17.Passing invoices onto the accounts team and assisting with introducer queries.
18.Typing of letters, emails, memos, minutes, schedules as required.
19.Dealing with clients visiting the office in a polite, helpful and confident manner.
20.Handling of private and confidential documents and information.
21.Have a good working knowledge of 360 and to run reports for management information.
22.Organise team events
23.Organise and take minutes at the New Homes Board.
24.Handling of private and confidential documents and information.
25.Fielding calls for the branch and Partner.
26.Understanding of the sales process.





Accountability

Meetings
1.Prepare agenda for meeting and communicated to attendees business meetings.
2.Prepare documents, stats and presentation for sales meetings.
3.Take minutes in meetings and circulate to attendees within agreed SLA.
4.Follow up action points of minutes for Partner.
5.Prepare for Partners client meetings.
6.Arrange client meetings (with lenders if required).
9.Assist Partner with all lender, client and office head lunches, attending as required.


Administration support
16.Chasing out standing documents from client.
17.Assist the Head of New Homes to prioritise new business opportunities, and help them be delegated to the team as required, ensuring feedback is given.
18.Being a point of contact for Partners clients.
19.Admin checklists/ broker checklists.

Sales
20.Assist the partner allocating new business opportunities to Advisors.
21.Assist with managing lender meetings.
22.Preparing for Partners quarterly review meetings with advisors.
23.Managing and updating broker CV where appropriate.
24.Sending out communication on the Partners behalf

HR and support

25.Arranging new recruit interviews with recruitment agents and Knight Frank HR.
26.Requesting new starters on Working life.
27.All new starters have equipment and log on details.
28.Communication to business of new starters.
29.Inducting new starters to staff.
30.Partners expenses are completed monthly

Events
31.Where required, help business with events & department events.
32.Help ensure the department presents itself at all times in a professional manner
