My clients are a global property form they are looking to recruit a Team Assistant to join their New Homes and Residential Development Team based in our Edinburgh Office.
The Edinburgh New Homes division is a part of our Residential division and this role will be a great opportunity to join an exciting, dynamic team.
The successful candidate would primarily support the Edinburgh New Homes & Residential Development Team, including providing a full range of secretarial services such as diary and email management, proof reading, client arrangements, marketing and brochure creation, invoicing and general administration.
Responsibilities
General
⬧ Assistant to the head of the Edinburgh New Homes and Res Dev team, which includes providing a full range of administration services such as extensive diary and email management, proof reading and client arrangements
⬧ 'Point of contact' for the team and assisting other team members where necessary, processing telephone messages and emails in a timely manner
⬧ Being up to date with current property instructions and assist in preparing reports, marketing material and other documentation
⬧ Full control and maintenance of diaries, making appointments and arrangements for all meetings with clients and colleagues
⬧ Arranging viewings and liaising with clients
⬧ Handling of private and confidential documents and information
⬧ Filing/archiving, photocopying and confidential waste disposal
⬧ Deal with clients visiting the office in a polite, helpful and confident manner
⬧ Maintenance of property/buyers database
Financial
⬧ Invoicing clients and processing supplier invoices.
Marketing & PR
⬧ Assist with marketing (internet, production of printed and online sales details and advertising)
⬧ Being familiar with the KF corporate /marketing templates
⬧ Assist with production of pitching material
General Team Responsibilities
⬧ Intercept incoming telephone calls and emails regularly. Make full and accurate notes of all conversations/ telephone messages and ensure that they are actioned or passed on without unnecessary delay.
⬧ Acting as an ambassador for the firm at all times and carrying out all personal assistant duties in a discreet, diplomatic and efficient manner
Entertainment /Events
⬧ Organise business generation events/functions on behalf of the department.

Qualifications & Skills Required
⬧ Preferably 1 year+ Secretarial / PA experience
⬧ A flexible, organised, pro-active hands-on individual
⬧ A strong communicator capable of influencing others successfully, with a professional and helpful manner and a genuine interest in property.
⬧ Good word processing skills with database experience and the ability to multi-task.
⬧ A self-motivated, well presented individual with a proven background or strong interest in a role involving organisation and administration.
