My clients are a fantastic investment firm looking to recruit a Receptionist / Team Secretary to be on their front of house based in the hart of the west end.
Responsibilities:
*To be "The Public Face of the company" and set the tone and perception of the office
*Greeting visitors to the office in a friendly and professional manner and notifying the relevant member of staff on arrival
*Answering the telephone in a professional manner and forwarding telephone calls to the relevant person and taking messages efficiently and accurately
*To ensure that the reception area, meetings rooms and kitchen are maintained to a high standard and are always presentable.
*Providing secretarial assistance to 7 investment team members
*Finance administration support including invoice posting and filing
Key Tasks:
*Preparation of meeting rooms including setting up audio visual equipment, serving refreshments etc.
*Organisation of catering for meetings including serving and tidying up afterwards
*Keeping stock of items such as stationary, condiments, refreshments, crockery etc.
*Ordering refreshments and maintain stock for the front of house fridges.
*Liaising with suppliers, cleaners, contractors to maintain presentable office facilities.
*Offering visitors refreshments as appropriate. You may also be requested by senior management to provide refreshments to their offices.
*Couriers - book couriers as necessary, both UK, international and bike couriers.
*Managing petty cash
*Fire Warden and First Aider
*Diary Management - scheduling meetings in person and virtually
*Travel arrangements - this includes all aspects of their travel and providing detailed itineraries
Qualities Required:
Clear, friendly and professional communication skills
Reliable, can use own initiative and common sense
Honesty and discretion
'Can do' attitude
Punctual and reliable with the ability to work to deadlines
Professional personal presentation
The ability to control emotions
An outgoing and vibrant personality
Ability to remain calm and professional even when under pressure
Ability to work autonomously
Skills Required:
Strong time-management and organisation skills
Good interpersonal skills IT literate; proficient with Microsoft Office
A good communicator with a well-mannered and modulated spoken voice (particularly on the telephone)
A good level of literacy and numerical skills
Excellent tea and coffee making skills
Must be analytical with a high level of attention to detail and problem-solving skills
