High profile Mayfair Hedgefund founder is looking for a dynamic EA to support him in a business & private capacity, this is initially a 9 month contract.
This is an office based position and there will be a strong focus on coordinating every aspect of Principals Business and Private life on a day-to-day basis.
Business duties and responsibilities:
Proactive diary management for the CEO and assistance with his direct reports' diaries when required
Providing a good customer facing service
Fielding calls in a professional manner
Researching new business projects, compiling presentations and reports
Proof-reading internal and external presentations and other communications
Booking meeting rooms and catering for meetings
Preparing and assisting in the setting up of committee meetings and offsites
Scheduling preparation and briefing meetings ahead of all client engagements ensuring all internal key players are included
Acting as a link between the CEO and his direct reports as well as wider teams globally
Continuing an accurate and effective desk and digital filing system
Creating and maintaining an effective network and good working relationship with the office management team and other key service providers
Coordinating internal and external events, workshops and conferences
Minor accounting and bookkeeping, compiling and managing budgets and expenses
Coordinating interviews and handling confidential information with discretion
Expense reporting and processing
Arranging complex business travel, visas and itineraries
Maintaining detailed client and personal contact list
Maintaining a good list of suitable venues for client breakfasts, lunches and dinners
Personal duties:
Coordinating diaries with the family private EA
Arranging personal travel for the CEO and family
Dealing of personal mail correspondence; manage event invitations
Organise philanthropy events
Finalising trip details and coordinating travel plans
Collation of documentation for tax returns
Successful applicants must have:
* Ideally degree educated and evidence of supporting a demanding principal in a
business & private capacity (private experience imperative) from a financial services company.
* Impeccable organisational skills including the ability to prioritise and multi-task
with minimum level of error.
* Calm manner and very discreet as you all have access to super confidential
information.
* A flexible attitude towards problem solving and dealing with ad-hoc issues whilst
also being able to work to specific procedures or protocols.
* A self-sufficient work ethic with a proactive outlook. The ability to see longer
term issues and run with projects from inception to completion.
