My clients are looking for a first class front of house administrator to cover reception and take on marketing duties.
Client Support
Office Administration:
Maintenance of marketing suite
Reports, correspondence, memos, minutes, schedules, mail shots
Presentations using PowerPoint.
Electronic filing system. G: drive maintenance
Manual filing
Archiving
Stationery
Office meetings - weekly & monthly agendas
Assist in setting up new systems in office
Facilities Management:
Fire safety
Health and Safety
Furniture / equipment / telephones / supplies
Building access for visitors as and when required
Risk management
Security - Office alarm, key security, lone working
Awareness of all responsibilities as detailed in the Site Sales Manual
Awareness of, and adherence to, on-site Health & Safety requirements
Awareness of, and adherence to, any procedures relating to PMA & Money Laundering
Maintenance of any reporting/visitor registration systems
Engage with marketing initiatives
Keep all sales/plot files up to date
Administration of petty cash
Undertaking of daily checks of the presentation of the sales suite and show unit
Undertaking of daily checks of the literature, price lists and stationery
Maintain local information file
Team
Answering most incoming calls to department and fielding to relevant agents
First point of contact for the department
Be aware of team attendance i.e. know where everyone is
Reporting of any concerns with regard to any of the above to the Department Head
Systems and IT Competencies
Web/email literate
Word (advanced)
Excel literate
Power Point
Database experience
Literate and numerate
Professional experience and personal skills profile
Career Experience Required
Previous administration experience preferable
Particular Aptitudes/Skills Required
Good standard of English grammar and spelling, and takes pride in presentation of work.
Flexible, adaptable and cooperative with the ability to remain calm under pressure.
Have the necessary organisation skills to provide an efficient support service to the marketing suite team.
Dedicated, loyal, diligent and punctual with a tidy manner.
