Leading Global West End Organisation is looking for a dynamic EA to support the Head of Legal and his Team on a 1yr FTC.
We are looking for dynamic Team EA that is used to supporting ideally at C-Suite within a legal department of a global company. The legal counsel is responsible for managing legal support on material commercial transactions globally. This is a pivotal role within the company and the ideal candidate will provide a full range of administrative and support to the London group legal team with primary support for compliance.
A multi-faceted support role that a wide range of duties:
Duties:
Arranging and managing meetings, telepresence and video/audio conferences for the London team and the Group Legal Management Committee
o Liaising with internal and external attendees, taking into account time differences and
deadlines
o Booking rooms, catering and equipment using online tool
o Co-ordinate and support production
Expense reconciliation and invoice administration
o Reconciling general and travel expenses in line with company policy using Concur online
tool
o Preparation of purchase orders and payment requests via SAP
o Maintenance of records of payments for legal service
Coordinate and book business trips, arranging visas and all necessary admin surrounding international travel.
o Booking travel using online booking tool Concur, in line with company policy
Daily administration of department
o Provide admin support as necessary
o Filing and storage of documentation (paper and electronic)
o Maintaining stationery
o Dealing with post and couriers
o Administration for new starters, leavers or contractors in the team
Requirements for this PA to Senior Partner position:
*A degree in Law coupled with PA experience or experience as working as PA in a Legal
dept.
* Experience in managing a contract database
* Excellent IT skills and ideally the ability to USE SAP and CONCUR
(desirable)
* Ability and confidence to draft routine, accurate and timely communications on
behalf of managers
* Ability to prioritise/organise work and meet deadlines, whilst maintaining accuracy
and attention to detail
* Self-motivated, highly organised and efficient multi-tasker
* Confidence to deal with people at all levels, externally and internally
* Good communication and interpersonal skills - ability to work as part of a team
